Job Responsibilities and Requirements
Responsibilities:
· Provide administrative support for the department
· Manages payroll, employee records, employee interviews and onboarding
· Resolves questions regarding pay policies, time off, uniforms and other company/department policies and procedures.
· Develops and prepares departmental reports
· Manages internal department finances, including credit card statements, invoices and expense reports.
· Schedules meetings, creates agendas, takes meeting minutes, and orders catering as needed.
· Develops and maintains SharePoint infrastructure and network folders
· Submits requests as needed, including ITS, Facilities and Shipping
· Coordinates office mail, schedules travel arrangements and itineraries
· Orders and maintains supplies, including office, breakroom, facilities, uniforms etc.
· Interfaces with all Plant visitors
· Keep the office running smoothly — including occasional errands and maintaining organized filing systems
· Take on special projects and administrative problem-solving as needed
· Coordinate and manage the procurement of materials, tools, and supplies for maintenance specific jobs and facilities projects.
· Track and reconcile purchase orders, invoices, and delivery schedules to ensure timely and accurate fulfillment.
· Maintain vendor relationships and assist with sourcing new suppliers as needed.
· Support the team in managing and monitoring work tickets, ensuring accurate documentation and timely resolution.
· Assist in scheduling and coordinating maintenance projects, including communication with internal teams and external contractors.
· Maintain organized records of purchases, work orders, and project documentation.
· Provide general administrative support to the Maintenance/Facilities team, including filing, data entry, and correspondence.
· Assist in the production process as needed, including the creation and completion of production jobs, and perform related Oracle transactions.
· Support the shipment process as needed by scheduling carrier pickups, generating packing lists, and executing related Oracle transactions.
· Maintain and update the material reports to reflect current inventory movements and ensure accurate tracking of material usage.
· Continuously improves administrative processes
Requirements:
· High School diploma or GED equivalent
· Advanced computer skills, including Microsoft Office applications, database management, reporting
· Excellent written and verbal communication skills
· Detail oriented and very organized
· Self-managed team player with a positive attitude
· Willing to work overtime as required
Desired Qualifications:
· Bachelor’s Degree
· Minimum of 5 years administrative support experience
· Experience in logistics, international transportation and traffic, import/export related field
