The role of Project Administrator will focus on knowledge management, process improvement, and special projects.  This position requires demonstrated experience in creating and improving processes, a proven track record of taking action and initiative to solve problems, a learning mindset, a dedication to superior customer service, and the ability to work in a complex environment where scope isn’t always clear at project kickoff.

Principle Duties

  • Works with the Facilities team to capture and document processes.  Updates or establishes action plans, SOPs, and workflows.  Communicates new processes to user groups, providing training and ongoing support.
  • Serves as point of contact to request RFPs, establish contract reviews, and support complex issues involving campus services, including janitorial, supplies, risk management, security, and construction projects.
  • Conducts risk assessments and data analysis to produce progress reports that highlight milestones, budget concerns, and critical path items which require attention or adjustment.  Participates in project post-mortems; captures and disseminates lessons learned to the Team.  Implements approved process improvements.
  • Standardizes forms and required documents across teams and departments.  Manages reports, files, and databases to create more efficient systems improving the Team’s ability to consolidate knowledge and easily file, track, locate and share accurate information. 
  • Manages Facilities’ opportunity assessment form (OAF) review process to seek approval of new project requests.
  • Updates and collaborates on creating presentations for Facilities’ monthly, quarterly and annual reports.
  • Supports Facilities’ work, including purchasing functions; project turnover documents; contract review; event planning; and process improvements.
  • Updates assigned work projects and work orders in Facilities’ Service Now EAMS, Nuvolo.
  • Completes other ad-hoc duties, as assigned.
  • Works weekends when needed.
Requirements:
  • Associate degree or Bachelor’s degree preferred.
  • 10+ years of Project Administration including, but not limited to, project management, budget analysis & forecasting, regulatory (OSHA & EHS) compliance, labor & material tracking, quality control and reporting.
  • Experience with flowcharts, process improvement, technical reviews and schedule management.
  • Exceptional communication, collaboration, organizational, and planning skills required.
  • Biased towards action; proven track record of taking initiative and a proactive approach to problem solving.
  • Ability and desire to multi-task several projects and assignments with budgetary and time driven deadlines.
  • Attention to detail, accuracy, and critical thinking skills required.
  • Reliable, self-managed, team player committed to customer service and continuous improvement.
  • Ability and willingness to learn any programs, applications or skills required to excel in this role.
Desired Qualifications:
  • Previous experience in a facilities, manufacturing, services, or construction environment preferred.
  • Experience with Microsoft Office Suite required.
  • Experience with Nuvolo or another EAMS preferred.  PMP certification a plus.
